The Case and Client List Screen has 2 sections:

1.Top Menu: This allows you to do various functions including Adding and editing a Case and administering a survey.

2.Case List: This section is a list of all the cases for the logged in user. For administrators or managers this section is the list of all the cases in the agency or department they are an administrator of.

Each column in the case list screen has a column heading.

1. Top Menu

The top menu of the Case and Client List Screen allows you to do the following functions

Add Case button 

From here you can Create a new Case, add Client(s) and Collateral Raters(s).

Filter by Tags bar

Most agencies create tags to label Cases according to diagnosis or type of service offered. If your agency has set up tags you will see them here and can select cases to view by one or more tags.  See Tags section in the OpenFIT Administrator Guide for more details on setting up tags in OpenFIT.

Search bar 

To make it quicker and easier to find Cases and Clients you can use the Search bar.

Columns

This button allows you to select what columns are displayed on the Case and Client List Screen.

Quick Survey

When you click on this button you can take an ORS or SRS survey. A session is automatically generated with this option.

View Survey

When you click on this button you are brought to the Sessions and Feedback screen where you can manually create a new session.

Edit case details

You can edit the details of the case that is selected.

Delete

When you click on this you are asked whether you would like to remove the case.

2. Case List Section

Each column in the Case List screen has a Column Heading. Some column headings allows you to filter the Case List by the heading name. These are marked by a filter symbol to the right of the column heading. Not all columns may be visible to see more columns scroll to the right or use the scroll bar at the bottom of the screen.

Case Number:

This is the Case Number of the case in OpenFIT. To access the case click on the case number. The case number for each case must be unique. The format of case numbers is set by the administrator and users should follow the administrators guidelines on case numbers. See Case Number in the reference section for more details.

Owner

The heading owner is the lead clinician of the client or case.

Clinicians

The names of the clinicians linked with the case appears under this heading.

Clients

Under this heading you can see what clients are assigned to the case.

Status

This column tells you whether the case is Open – this means that the client is currently attending treatment, Closed-planned – this means that the client made a planned decision to no longer attend treatment or Closed-Unplanned – this is when a client has dropped out before treatment is finished. To edit the status of your client/case click on the edit case button on the right.

Start Date

This is the date client started treatment.

Last Session Date

This displays the date that the client last attended a session.

Type

There are 4 types of cases. Individual, Couple, Family and Group. It is important to select the correct type for the case as this determines what feedback surveys are available in the Session and Feedback screen.

Alert

This icon tells you if there are any Alerts on the Case. Alerts can arise when the ORS or SRS scores are off track, or a client has missed a session or there is too long a period between sessions. Alerts help the user and administrator identify cases that need some attention. There are also Alerts on the Client List screen which indicate if that particular client is off track in an ORS or SRS score  or there score has dipped since the last session.

Description

Here you can write a short note on the case such as a case description or other relevant note. There is also an option to add notes to each session.
